SALES AND MARKETING ADMINISTRATOR

SALES ACTIVITIES

  • Prepare weekly sales and traffic reports as well as special reports for the corporate office and the department
  • Serve as liaison between the sales staff and the on site computer system and maintain all relevant data
  • Upon receipt of contracts, verify all documentation is complete
  • Receive construction deposits, list on frame start sheets, and notify sales staff, purchasing and accounting
  • Verify the accuracy of all pricing information
  • Process option order forms and change orders in a timely manner as described above, and obtain the required signatures in a timely manner
  • According to established timeframes, maintain a schedule of projected walk throughs and closings and monitor adherence
  • Review completion dates, Certificate of Occupancy dates, final inspection dates and walk-through dates with management on a monthly basis
  • Assist with monitoring the cleanliness and appearance of model homes and community sites, provide feedback to management and present awards for exceptional sites
  • Assist with new community grand openings
  • Coordinate Parade of Home events (including HBA meeting attendance)

MARKETING ACTIVITIES

  • Maintain master set of documents for all collateral materials and, at the direction of the Marketing Manager reorder additional items to maintain an adequate inventory
  • Organize and maintain the photography library
  • Manage preparation and distribution of individual community newsletters
  • Maintain accurate collateral materials for each community and ensure their timely distribution
  • Coordinate the production of renderings, floor plans, aerial maps, builder story and other displays for sales offices
  • File and maintain newspaper and magazine ads and articles for each community

ADVERTISING ACTIVITIES

  • Verify accuracy of all line ads and weekly space ads
  • Maintain and distribute the advertising schedule
  • Manage the company web site information including maintenance of data and new communities
  • Monitor the company’s web site e-mail daily and provide prompt responses to all information requests
  • Manage the production, installation and maintenance of all exterior signage to include directionals, flags and flag poles for all new and existing models and communities
  • Coordinate the preparation and submission of all award entries
  • Coordinate the mailing of the company newsletter
  • Create monthly media effectiveness reports
  • Summarize monthly competitive analysis reports including absorption, standing inventory, pricing and included features

ADMINISTRATIVE DUTIES

  • Provide administrative support to the Sales Manager and Marketing Manager
  • Review and Code marketing department invoices and process check requests as appropriate
  • Prepare correspondence for the Sales Manager and Marketing Manager to include letters, memos, special reports, flyers, meeting notes, etc.
  • Assist the Sales Manager and Marketing Manager with scheduling and rescheduling appointments with internal and external contacts
  • Assist with all other special projects and tasks as directed by management
